Annex 7: Developing a Resource Schedule

A resource schedule costs the Activity inputs set out in the work-plan. It should distinguish between one-off expenditure and recurrent costs.

The steps involved in developing a resource schedule are:

  1. Set up a table with the list of the activities in the left hand column.
  2. For each activity make a list of all the inputs required to complete the tasks involved.
  3. Group the inputs so that the cost information can be summarised into cost categories such as salaries, equipment, etc. and decide on the most appropriate units to use for the different inputs, e.g. person months, number.
  4. Look at the activity schedule and see when the tasks are going to be carried out and then specify the quantity (in units) required for each quarter.
  5. Developing a Work-Plan.
  6. For Activities where there are different funding sources, allocate costs to the respective funding source and show this in the schedule.
  7. Use the information from steps 4 and 5 to schedule the costs for different time periods and then add these to come up with a total Activity cost.
  8. The final column can be used to list the recurrent costs. (These are the annual maintenance costs that will be required to keep the benefits flowing from the Activity after it has finished, e.g. the salaries of local staff.)
