Summary notes from the meetings are to be circulated to all NZAID including posts. Recommendations are to be filed on the relevant programme file. Summary meeting notes and recommendations with a copy of the month’s report are filed in a programme committee file (AID/SAEG/5) and inputted under the ‘decision making process’ section of the Activity Management System (AMS). Minutes are also filed in Docs Open under NZAID Programme Committee Minutes. Any guidance with agency wide implications is forwarded to AIDMGT. Team Leaders will share any learning from this process with team members either formally through team meetings or informally through coaching.

Follow Up

Every six months any issues with Agency-wide implications identified through the Programme Committee will be ‘audited’ at a committee meeting to determine if the issue has been addressed within the Agency. At this time the committee will also discuss the programmes’ responses to their advice in order to assess the effectiveness of the committee.
